The Recruitment Rule I’d Break: If it’s not in the CRM, it didn’t happen.

This post by Nick Browne at Devyce is part of our blog series, “The Recruitment Rule I’d Break”.

If there is one recruitment rule I would update, it is the idea that “if it’s not in the CRM, it didn’t happen.”

The principle is right. A recruitment business cannot run on private memory. Candidate motivations, client requirements, feedback, objections and next steps need to be easily accessible.

The process behind the rule is the problem.

For years, agencies have treated recruiters as the integration layer between the conversation and the system. Finish the call, remember what mattered, write the note, update the record, set the task, move the opportunity on. Then do it again after the next call.

Across a busy desk, that is a weak operating model.

It creates inconsistent data, missed context and unnecessary admin. More importantly, it asks consultants to divide their attention between having the conversation and reconstructing it afterwards. The result is often a CRM that contains some of what happened, written later, under pressure, from memory.

That is not good enough anymore.

The better rule is: if it happened, the CRM should know about it.

This is not about removing recruiter judgement. Recruiters should still decide what matters, how to follow up and where the opportunity sits. But capturing, summarising and surfacing useful context should not depend entirely on whether someone has five spare minutes between calls.

Good recruiters build relationships, ask sharp questions, pick up hesitation and understand what people really mean. Their value is in the quality of the conversation, not in manually preserving evidence that the conversation happened.

Quality CRM data still matters. In fact, it matters more than ever. But the way we create it needs to catch up with how recruiters actually work.

The takeaway: recruiters should be responsible for better conversations. Technology should make sure those conversations become usable business intelligence.
